Fees and booking FAQs


You can book to attend the conference for one day (either 3 or 4 June) or for two days. Early bird fees applies until midnight 5 April 2020.

  • Conference Dinner - £45 per person

  • How do I book? All bookings are processed online via our event booking site.
  • Can I attend the conference for one day only? Yes you can book to attend the conference for one day only. You can select the day you wish to attend (either 3 or 4 June) when you book online.
  • Do I qualify for a 'fee supported' place? The 'fee supported' places apply to staff and students from Scottish higher education institutions and staff from Scottish sector agencies. There are a limited number of ‘fee supported’ places, allocated on a first come first served basis.
  • Can I still attend the conference if 'fee supported' places are full? Once 'fee supported' places are full, staff and students from Scottish higher education institutions who wish to attend the conference MUST be added to our waiting list. Should a ‘fee supported' place become available, we will offer this place on a first come, first served basis. To add your name to our waiting list please email ARCadmin@qaa.ac.uk stating your full name, institution, contact number and days you wish to attend.
  • How do I find out if my institution is a QAA Member? View the QAA Members list for 2019-20 to find out if your institution is a QAA member.
  • How do I qualify for a student place? At the time of booking you must be a full time or part time student studying at undergraduate or postgraduate level, or a full-time sabbatical officer.
  • What do you accept as proof of student status? We will accept a photo/scan of your student card or letter of admission. Confirmation of appointment is required as evidence for full-time sabbatical officers. We accept JPEG, JPG, PDF, PNG file format with a maximum size of 5MB. You MUST have this ready when you book online.
  • Do I need to select parallel sessions during booking? Yes, when booking online, delegates must choose parallel sessions for each day they attend the conference. You may find it helpful to review the complete parallel session programme. This will allow you to identify the sessions that you are most interested in before making your online selection.
  • I'm a presenting delegate, what parallel session do I select during booking? If you are attending the conference as a presenting delegate you MUST select your own session when you book online.
  • Can I move between rooms during the parallel sessions? No due to time constraints, delegates must remain in the session that they booked for the full hour and they are not allowed to move between sessions.
  • When is the Lord Provost’s Civic Reception? The Lord Provost Civic Reception will take place on 3 June at 6pm in the Radisson Blu Hotel. There is no cost to attend the Civic Reception but we ask you to book for catering purposes. If you wish to attend please select this option when you book.
  • When is the conference dinner and how much does it cost? The conference dinner will take place on 3 June at 7pm in the Radisson Blu Hotel and will cost £45 per person. The dinner will include a three course meal with tea/coffee. This will be a lively evening with an exciting dinner speaker (details to be confirmed). This will give you the chance to discuss and debate some of the key themes arising from day one of the conference. If you wish to attend please select this option when you book.
  • How do I pay? Full payment will be taken at the end of the booking process via PayPal (you don't need a PayPal account).
  • What if my payment is unsuccessful? If payment is due and you exit PayPal or experience technical difficulties before completing your payment, you will not receive an email confirmation and you will not have a place at the conference. Please email ARCadmin@qaa.ac.uk if you experience any difficulties making a payment via PayPal.
  • How do I know if my booking is confirmed? As soon as you have completed the booking process the confirmation page will appear. You will also receive an email confirmation as soon as you complete your booking. If you do not receive the confirmation email within 10 minutes of booking please check your spam or junk mail folder. Please keep your email confirmation as it includes details of your booking, including the parallel sessions you selected.
  • Can I make changes to my existing booking? You can amend or cancel your booking online until 8 May 2020. To access your booking please use the appropriate link in your confirmation email. After this date please email ARCadmin@qaa.ac.uk.
  • I'm unable to attend the conference, can I send a substitute in my place? If you are unable to attend the conference and would like to send an substitute in your place, please email ARCadmin@qaa.ac.uk to request permission from QAA Scotland, before 8 May 2020. After this date a cancellation fee may apply.
  • Are there any cancellation charges? If you cancel after a certain date cancellation fees may apply. Please see our booking terms and conditions for details.
